This User Agreement ("Agreement") is a binding contract between CompassionCloud ("Provider," "Platform," "we," or "us") and the individual or organization accessing or using the CompassionCloud service ("User," "Church," "you," or "your"). By creating an account, logging in, or using the Service, you agree to comply with and be bound by this Agreement.
If you do not agree, do not access the platform.
1. Purpose of the Platform
CompassionCloud provides churches and organizations with outreach management tools, including:
- Family need tracking
- Volunteer coordination
- Case notes and follow-up management
- Reporting and team collaboration
- Document and record organization
The platform is not a replacement for professional social work systems, legal processes, or counseling services.
2. Eligibility
To use the platform, you must:
- Be at least 18 years old
- Be an authorized member of a church or organization
- Provide accurate registration information
- Agree to all legal documents including the Terms & Conditions, Privacy Policy, and DPA
3. Account Responsibilities
3.1 Account Security
You agree to:
- Keep your username and password confidential
- Use strong passwords
- Not share your account with others
- Immediately report unauthorized access
The Provider is not responsible for breaches or data exposure caused by user carelessness or improper access control.
3.2 Account Use
You may only use the platform for:
- Ministry outreach
- Communicating needs within your church
- Managing case information
- Coordinating volunteers
- Recording and tracking follow-up interactions
You may not use the platform for:
- Harassment
- Unauthorized data sharing
- Commercial solicitations
- Political campaigning
- Storing restricted government, financial, or medical data
4. User-Submitted Information
4.1 Responsibility for Submitted Data
Users acknowledge that they voluntarily enter sensitive family and personal information. Users—and the Church they represent—are solely responsible for:
- The accuracy of the information
- Obtaining consent when needed
- Ensuring compliance with privacy laws
- Updating or removing incorrect data
The Provider does not verify, monitor, or endorse user-submitted information.
4.2 Prohibited Data Types
Users agree not to store:
- Social Security numbers
- Financial accounts or credit card numbers
- Medical records or diagnoses
- Government-issued ID numbers
- Highly confidential legal documents
5. Acceptable Use
Users agree not to:
- Attempt to modify, hack, or disrupt the platform
- Upload malware, scripts, or malicious content
- Misuse internal notes or information
- Export or redistribute family data without authorization
- Use platform data for personal, political, or commercial gain
Violations may lead to suspension or permanent account termination.
6. Data Privacy & Protection
6.1 Compliance
Users must follow all guidelines outlined in the:
- Privacy Policy
- Data Processing Agreement (DPA)
- Terms & Conditions
Users must handle data responsibly and within their organization's privacy standards.
6.2 Confidentiality
All information within CompassionCloud is confidential and intended only for authorized ministry purposes.
Users may not share or disclose records outside their organization unless explicitly permitted by their leadership and allowed by law.
7. Communication & Notifications
Users consent to receive:
- Account alerts
- System announcements
- Security updates
- Platform notices
- Automated reminders (optional)
The Provider does not send marketing emails unrelated to the use of the platform.
8. Service Availability
The Provider strives to maintain system uptime but does not guarantee uninterrupted service. Users acknowledge:
- Occasional downtime may occur for updates or maintenance
- Access may be temporarily affected by hosting issues
- Data backups exist for system recovery, not long-term storage
9. Updates & Changes
We may update the platform and this Agreement at any time.
Continued use after updates constitutes acceptance of the revised terms.
10. Termination of Access
The Provider may suspend or terminate a User's access for:
- Violations of this Agreement
- Unauthorized data handling
- Abuse, harassment, or harmful behavior
- Compromising platform security
Church leadership may also request the removal or deactivation of user accounts.
11. Disclaimer of Warranties
The platform is provided "as is" and "as available." The Provider makes no guarantees regarding:
- Accuracy of user-submitted data
- Outcomes of outreach efforts
- Continuous uptime
- Compatibility with all devices
- Error-free operation
12. Limitation of Liability
To the maximum extent permitted by law:
- The Provider is not liable for harm caused by user actions, data entry, decisions, or outreach conducted using the platform
- The Provider is not responsible for damages resulting from lost data, downtime, or system errors
- Total liability is limited to the amount paid by the User or Church in the past 12 months, or $100 if no fees were paid
Users and Churches agree to indemnify the Provider against claims arising from:
- Improper use of data
- Wrongful outreach decisions
- Violations of law
- Misuse of platform tools
13. Governing Law
This Agreement is governed by the laws of the State of Indiana, without regard to conflict-of-law principles.
14. Acceptance of Terms
By:
- Creating an account
- Logging in
- Using the platform in any capacity
You acknowledge and agree that:
- You have read and understood this User Agreement
- You are authorized by your organization to use the platform
- You accept all terms and conditions
